A Warm Welcome for Out of Town Guests

Let’s face it – travelling can be stressful.
If a significant number of out of town guests will be travelling to attend your wedding, there are a number of ways to simplify their journey and make them feel welcome during their stay.
Invitation Insert Cards
If you’ve set up a block of rooms at a hotel, consider including an accommodations card with your invitation suite. An accommodations card commonly provides information such as: name, address, and phone number of hotel(s), name under which your group is reserved, reservation deadline, and URL to reservation website. Unless you’re paying for the hotel rooms, your guests should be advised that rooms are being reserved at a reduced rate. This notifies them that they are responsible for paying for their rooms.
A directions card is another common insert that may be helpful. You might include driving directions from surrounding areas or information about the local airport or public transportation services.
Wedding Website
More and more couples are using wedding websites to convey essential information to their guests, and they can be particularly helpful for travelers! For example, you might include a “Visitors” tab on your website with links to transportation options, hotel accommodation offerings, local areas of interest, and a list of your favorite restaurants. What’s even better – you can continue to update your website as the wedding approaches!
Be sure to include your site’s URL on the save the date and also within your wedding invitation suite (although not on the main invitation) so that guests are sure to visit.
Out of Town Welcome Gifts
If you’ve set up a block of rooms at a hotel, you might consider preparing welcome bags to greet guests upon their arrival. Most hotels can coordinate this at check in for you. Popular welcome bag items include water bottles, snacks, transportation information and/or directions, local maps, and – perhaps most importantly – a note expressing how grateful you are that they made the trip to celebrate your special day!
